Paying a person
Reconcile one bank transfer that pays a person's salary or board fee together with home office, mileage and business trip claims in Arvello.
One transfer to a person often pays several things at once: last month's salary, a home office claim, mileage and a business trip allowance. In reconciliation, choose Payment to a Person and book them together, or book part of the transfer this way and the rest as something else.
Choosing what the transfer pays
Payment to a Person is for a transfer to one person: their net pay (a salary, a board fee, or the net amount of a payment to an individual) and any of their approved home office claims, mileage claims and business trip allowances, in any combination. Pick the person (the one whose name or IBAN matches the transfer is pre-selected and marked ✓) and Arvello lists what is waiting for them. Items that add up to the transfer are ticked for you; otherwise every item that fits is ticked, oldest first, and for an employee, board member or other payee the rest is proposed as net pay. If the person's payroll runs still owe them net pay, that net pay counts as one more item, so a transfer of exactly their salary and some claims is ticked for you. Untick anything, or change the net pay, before confirming. A running line shows what this payment covers and what is left.
What is booked
Confirming books one entry: the net pay clears net pay payable (2270), each home office claim goes to operating expenses (5100), each trip allowance to travel expenses (5500), and each mileage claim clears expense claims payable (2275), which its approval booked. Each claim and trip is marked Paid, and a mileage claim's payment date is the one TSD Annex 4 and INF 14 follow. A mileage claim with a trip after the transfer isn't listed: compensation can't be paid before its trips.
Net pay and the TSD
The TSD declares pay in the month the money left the account, so net pay is also recorded as paid on the person's payroll runs, dated the transfer: the oldest run first, each up to what it still owes. The form shows which runs, under the net pay. A run owing exactly the net pay takes it; untick a run there to leave it out. Net pay beyond what the ticked runs owe only clears net pay payable, and the form says so; it also says when no run is waiting, or when your roles can't record payroll payments: salary whose payment isn't on its run yet then needs recording on the run page. Confirming rebuilds the TSD of the months concerned, and Arvello says when a month's TSD is already filed and needs correcting in e-MTA. On the run page the payment shows as Bank transfer; it goes when you undo the transaction, not on its own. Undoing it moves the pay back out of that month, and if the month's TSD is already filed, Arvello says so: correct it in e-MTA. Recording net pay on a run, or undoing one that did, needs the Payroll permission.
A transfer that also paid something else
If the transfer also paid something else, such as a receipt the person paid for, leave that part unticked: the payment books what you ticked, and the rest stays open on the transaction. Add it with Add another item to this transaction, for example as a business expense. The same works the other way round: a transaction already part-booked as an expense offers Payment to a Person for what is left. A bank or currency fee inside the transfer is booked to bank fees by whichever item closes the transaction.
