Expenses & purchases
Track Estonian business expenses in Arvello: supplier bills, receipts, business trips, home office costs and fixed assets, all feeding your KMD VAT return.
This section covers the money-out side of your books: supplier bills, the receipts that prove them, the costs of trips and working from home, and the equipment your company buys. Each lives in its own place in Arvello, but they all feed the same accounts, VAT return and reports.

It helps to know which of three things you're holding, because each goes somewhere different.
Invoice, receipt or asset?
| You're holding | What it is | Where it lives in Arvello |
|---|---|---|
| A purchase invoice | A bill from a supplier β line items, VAT, a due date | Expenses β see Purchase invoices |
| A receipt | Proof of a payment, usually one already made | Attached to its expense β see Receipts & documents |
| A fixed asset | Equipment that lasts years β a laptop, a van | Equipment & Assets, depreciated monthly β see Fixed assets |
How expenses get into Arvello
- Manual entry β the New Expense button. The everyday route; see Purchase invoices.
- Received e-invoices β suppliers on the Peppol network deliver invoices straight into Arvello as draft expenses. See E-invoices & Peppol.
- Recurring templates β rent and subscriptions generate themselves on schedule. See Recurring expenses.
- During bank reconciliation β an unexplained outgoing payment can be recorded as a new business expense on the spot.
Payment status
An expense starts as a draft, is finalised into your accounts, then sits as unpaid until the money leaves. When you reconcile the matching bank transaction, Arvello records the payment and marks the bill paid β there's no separate bookkeeping step. See Reconciling transactions.
